Organisation: Woolcock Institute of Medical Research in Vietnam
The Woolcock Institute is lung health research organisation, based at Sydney University, Australia (http://www.woolcock.org.au/). The Institute has operated in Vietnam since 2009, we undertake large and important operational and epidemiological and clinical research projects in collaboration with the National Tuberculosis Program in 9 Provinces, including Ha Noi and Ho Chi Minh City. The Woolcock also runs training in epidemiological and operational research methods for Vietnamese doctors and public health workers.
Currently the Woolcock directly employs 50 full-time staff in Hanoi, Ho Chi Minh City and Ca Mau. We are substantially expanding our organization, as we prepare for the implementation of a major new clinical trial in 2015.
Location: based in Ho Chi Minh City
Title: Administrative Officer
Duration:12 months appointment, with consideration for subsequent extension
General Responsibilities
- Manage the supply chain for all consumables and equipment required for studies, throughout participating provinces
- Responsible for all administrative activities at Ho Chi Minh City office.
- Assist with Human Resources activities
- Assist with cash management activities at WIMR.
Reports to: Trial Coordinators and Business Manager, Woolcock Institute of Medical Research

Duties and Responsibilities
- Administrative tasks:
- Assist in arranging travel for international visitors and study staff in the office. Assist travellers with travel policy regulations when required such as quote estimation for the whole trip, travel request, per-diem scale, payment process
- Photocopy, scan arrangement as required
- Email for announcement, print label, name cards, etc.
- Prepare plan and make necessary payments for clinical research and general activities in the office
- Maintain and check study invoices and office invoices to submit to Trial Officers and Trial Coordinator for verification and approval
- Control cash activities in the office. Assist Accountant, Business Manager and Trial Coordinator in making financial and research reports to Principal Investigators, Country Director and governing authorities
- Assist in preparing timesheet, monthly cash flow reports and expenditure monitoring reports
- To record leaves, attendances, updates monthly timesheets and holiday follow-up sheets
- Human Resources:
- Assist recruitment process with required tasks described in Woolcock policy
- Supply Chain:
- Assist in obtaining quotations for equipment, reagent, consumables, stationery, etc.
- Distribute, document and maintain records for investigational medicinal product inventory and the supply chain of all non-investigational medicinal products.
REQUIRED COMPETENCIES
- Essential Criteria:
- Excellent communication and interpersonal skills.
- High level of organizational and record keeping skills.
- Good Vietnamese language skills.
- Desirable Criteria:
- Work experience of a Health Research Organizations
- Good English language skills
